Key responsibilities encompass planning, organizing, controlling, and reporting to ensure that project goals and objectives are achieved within defined cost, quality, and contractual parameters. This position involves planning and coordinating detailed aspects of project activities.
Key Responsibilities:
- Assists in managing multiple projects of moderate scale or segments of larger projects. Aids project leaders in the administration and coordination of initiatives to ensure project objectives are met. Provides technical and contract management assistance to project leaders throughout the design, construction, and closeout phases.
- Develops, assesses, and modifies standard methodologies, procedures, and criteria. Identifies and resolves issues. Oversees contract administration services to ensure necessary field checks are performed during the construction phase to maintain compliance with project specifications and established guidelines.
- Conducts regular site visits with construction teams to verify progress for accurate monthly cost calculations. Reviews and negotiates recovery plans as needed.
- Facilitates coordination between architects and general contractors, reconciling design phase estimates.
- Supports project leaders in managing and coordinating the design process to ensure that plans meet functional requirements and adhere to budgetary, environmental, and legal standards.
- Prepares requests for proposals, gathers, and evaluates bids for design and construction services. Collaborates with vendors and the Contracts Department for contract awards.
- Conducts research and analyzes data to maintain the Estimate at Completion Cost (EAC) throughout all project phases.
- Reviews and assesses change order requests, preparing estimates and negotiating agreed changes, demonstrating expertise in negotiation and critical issue resolution.
- Prioritizes tasks to meet established deadlines, assesses urgency, and forwards completed work to the appropriate departments.
- Communicates effectively with the team, relaying information that may require follow-up to ensure all deadlines are met.
- Utilizes MS Office and other software applications for data entry and management.
- Provides customer service by responding to data requests from various departments.
- Participates in staff and project meetings as assigned, preparing necessary data for leadership review.
- Ensures accuracy in data entry and proofing before submission to leadership or external parties.
- Offers training to colleagues as needed.
- Keeps Department leadership updated throughout project durations to ensure deadlines are met and issues are addressed.
- Demonstrates precision and thoroughness in data management.
- Maintains confidentiality as required.
- Performs additional duties and projects as assigned.
Required Qualifications:
- Combination of experience and education may substitute for a Bachelor's Degree.
- 3-5 years of direct experience in healthcare construction project management and planning.
- Proficient in supporting multiple project leaders in a fast-paced environment.
- Strong skills in personal computer software programs including Procore, MS Word, PowerPoint, Excel, Bluebeam, and Visio.
- Detail-oriented with excellent organizational skills.
- Ability to work independently with minimal supervision.
- Strong time management and communication skills.
Preferred Qualifications:
- Degree in Architecture, Interior Design, Project Management, Construction Management, or a related field.
Required Licenses/Certifications:
- Fire Life Safety Training (LA City) must be obtained within 30 days of hire if not already certified.
The annual base salary range for this position is competitive and will be determined based on various factors including the scope of responsibilities, candidate experience, and market considerations.
