The Vendor Compliance Specialist plays a pivotal role within the Xometry Sales Operations team, focusing on the onboarding and continuous management of vendor statuses across accounts. This role ensures thorough documentation, verifies the completion of vendor requests, and manages responses to portal inquiries. Collaborating closely with the sales team, you will serve as the subject matter expert responsible for driving Approved Vendor List (AVL) initiatives.

Additionally, the Vendor Compliance Specialist will actively seek opportunities to enhance operational efficiency, contributing to the implementation of solutions that improve data capture, thereby fostering confidence in data integrity and reporting accuracy.

Key Responsibilities:
  • Develop and implement internal policies, processes, and standards to enhance collaboration with customers and business partners.
  • Oversee the completion of various customer AVL documentation, ensuring accuracy and compliance.
  • Foster and maintain strong relationships with stakeholders across departments, including sales, legal, compliance, security, and finance.
  • Review and refine processes and procedures to ensure robust controls are in place, mitigating risks associated with vendor status lapses.
  • Manage portal activities, delegating tasks to appropriate internal stakeholders and ensuring timely updates and communications.
  • Oversee the formal quote request process, guiding internal teams in the preparation of necessary documentation.
  • Coordinate responses to regulators/auditors regarding quality assurance, ensuring timely collection and documentation of information.
  • Assess compliance reporting requests and create self-service resources for customers, assigning tasks to internal stakeholders as needed.

Design and implement solutions to optimize business processes, ensuring comprehensive documentation for stakeholder self-service.

  • Act as the primary contact for users seeking assistance with the vendor/supplier setup process.
  • Monitor the progress of vendor/supplier requests, ensuring adherence to established procedures and providing guidance as necessary.
  • Evaluate software solutions to streamline operational processes.
  • Support customer onboarding initiatives to strengthen relationships and ensure full access to Xometry's offerings based on their needs.
  • Initiate contractual agreements using Xometry's procurement software and provide ongoing support as required.
  • Negotiate and finalize supplier and quality agreements, reviewing quality manuals and assisting in customer communications.
  • Ensure compliance requirements are met and addressed appropriately.
Qualifications:
  • Minimum of 3 years of experience in compliance management and project management, with a proven track record in process development.
  • At least 3 years of sales experience.
  • 3+ years of experience in the manufacturing sector is preferred.
  • Strong critical thinking skills and the ability to work independently.
  • Proficiency in navigating multiple systems and technology.
  • Experience with CRM systems (e.g., Salesforce) and comfortable with data entry.
  • Ability to handle sensitive information with confidentiality.
  • Proven ability to work effectively both independently and as part of a team.
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Familiarity with compliance and information risk controls is a plus.
