Administrative Support Specialist

SUMMARY
As an Executive Assistant, your superior organization skills, strong attention to detail, and pleasant demeanor are essential in assisting high-level leadership functions. This role requires a high level of professionalism, discretion, and ability to work independently and collaboratively as part of a team.
RESPONSIBILITIES
- Acts as an ambassador of the organization, serving as the primary point of contact for assigned executives' departments, and ensuring that calls and inquiries are routed to the appropriate level of department subject matter expert.
- Proactively obtains data and/or information to prepare assigned executives for meetings, and provides guidance on a broad range of issues and special projects.
- Plans, directs, and oversees administrative functions of the assigned executives' departments, including managing information of a highly sensitive nature while maintaining confidentiality and exercising sound judgment.
- Provides calendar and meeting management, ensuring appropriate prioritization, sequencing, preparation, follow-up, and closure.
- Prepares meeting minutes, agendas, and itineraries, as well as drafts of presentations, correspondence, letters, memos, contracts, and forms.
- Manages executive reimbursements and department vendor payments, and works on special projects and confidential assignments as needed.
- Develops and implements policies, procedures, and office practices, and plans, organizes, and attends senior staff meetings and departmental staff meetings.
REQUIRED QUALIFICATIONS
- Bachelor degree or equivalent combination of education and/or experience.
- Previous experience supporting vice president level or above required.
- Considerable experience in a front-line visitor-facing reception role required.
PREFERRED QUALIFICATIONS
- Advanced computer and keyboard skills, including word processing, spreadsheets, databases, graphics, and internet research.
- Excellent written, verbal communication, and organization skills, and the ability to work independently and in a collaborative team environment.
EDUCATION: LICENSES / CERTIFICATIONS: PHYSICAL REQUIREMENTS:
S - Sedentary Work - Exerting up to 10 pounds of force occasionally. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
