Position Overview:

The Member Services and Event Planning Specialist plays a crucial role in the organization and execution of all member social events at Fisher Island Club. This individual should possess proven experience in event planning and have a solid understanding of food and beverage operations. The ideal candidate is confident, creative, highly organized, resourceful, energetic, detail-oriented, and capable of managing multiple tasks simultaneously. Additionally, this person must exhibit professionalism, integrity, and the ability to engage with discerning patrons gracefully.

Key Responsibilities:

  • Assist the Member Services & Events Manager in the planning and execution of member social events, ensuring adherence to the highest standards of service and quality.
  • Organize event venues, ensuring proper setup including décor, table arrangements, food & beverage, and entertainment.
  • Handle all administrative tasks related to events, including vendor agreements, purchase orders, and follow-up communications.
  • Book event spaces and create banquet event orders (BEO) tailored to each function.
  • Support the Member Services & Events Manager in managing project timelines and event logistics.
  • Coordinate with the Communications Manager for any special materials needed for events.
  • Utilize the Club app to create events, monitor reservations, and assist with mass email communications.
  • Prepare and distribute event overviews and supporting documents for holiday events.
  • Gather data for events, including member feedback and participation statistics for post-event analysis.
  • Maintain accurate records of all events in the shared drive.
  • Collaborate with Membership Assistants to keep them informed about event details.
  • During off-peak seasons, provide assistance to other departments as needed.
  • Perform additional duties as assigned.
