Harbor Health Services is in search of a dedicated Patient Access Representative to become a vital part of our Central Support team.

Position Overview:

The Patient Access Representative is responsible for delivering exceptional customer service while welcoming and assisting patients, families, and visitors at the Health Center. This role involves registering both new and existing patients, confirming scheduled appointments, verifying insurance details, and coordinating follow-up appointments. The Patient Access Representative skillfully identifies and addresses patient needs to ensure they are met effectively. Work hours are Monday through Friday, with evening shifts on Tuesday and Thursday, and a Saturday rotation.

Key Responsibilities:

• Efficiently collects and records patient information, including registering walk-in patients.

• Ensures accuracy of demographic and insurance information, entering essential patient data and account details.

• Verifies insurance coverage and documents payer information for patient encounters to facilitate accurate claim submissions, while collecting co-pays and payments in accordance with organizational policies.

• Answers phone calls promptly and directs them to the appropriate staff members.

• Educates patients about payment options, discusses health and dental insurance coverage, submits applications for Health Safety Net Presumptive Determination, and assists with Sliding Fee Scale Discounts, referring patients to Certified Application Counselors as needed.

• Aids in scheduling and rescheduling patient appointments as requested by patients or providers.

• Performs various administrative tasks, such as sorting mail and managing the bump list.

• Refers patients to the Referral Coordinator when necessary.

• Ensures accuracy of Primary Care Provider information and obtains necessary referrals, including Motor Vehicle and Workers Compensation Insurances as appropriate.

Qualifications:

• High school diploma or GED required.

• Minimum of 1 year of experience in a community health center or professional environment; 3 years preferred.

• Strong verbal and written communication skills.

• Excellent customer service, organizational, problem-solving, and prioritization skills.

• Basic math and reading comprehension abilities.

• Proficient in basic computer skills, with knowledge of Microsoft Office preferred, including Word, Excel, and Outlook; familiarity with EPIC Electronic Practice Management (EPM) is highly desirable.

• Bilingual in English and Spanish or Portuguese is a plus.

• Familiarity with medical terminology is preferred.

• Related bilingual skills based on business needs may substitute for up to 6 months of experience in a community health center or professional environment.
