Position Overview

Under general supervision, this role involves a variety of specialized clerical responsibilities, including client registration, appointment scheduling, and conducting interviews. The position also entails telephone screening, verifying medical insurance eligibility, and processing accounts for clients accessing services within the Santa Clara Valley Health & Hospital System.

Key Responsibilities

Depending on the specific assignment, the following tasks may be performed:
  • Conduct interviews with clients to gather personal and financial information to assess their ability to pay for medical services or determine program eligibility;
  • Provide information on alternative services, programs, or additional insurance options available to clients, including Federal, State, and County programs;
  • Prepare insurance billing documentation, including Medi-Care and Medi-Cal forms;
  • Compile medical admission packets and set up medical record files, ensuring all necessary departmental forms and labels are included;
  • Input registration and billing data into the computer system, reverting to manual processes as needed during system downtimes;
  • Prepare essential documents for emergency medical admissions;
  • Utilize office equipment to create identification cards for billing and issue receipts;
  • Answer phone inquiries regarding emergency medical treatments and refer calls to appropriate personnel;
  • Assist clients in completing necessary forms and paperwork;
  • Maintain a log of admissions and communicate with law enforcement and ambulance services regarding emergency cases;
  • Provide information to the public or staff that requires the application of policies and procedures;
  • Coordinate transportation for patients in various situations, including emergency scenarios;
  • Estimate costs for medical services and arrange payment plans;
  • Schedule appointments for various medical clinics using a computerized patient registration system;
  • Maintain appointment schedules and remind clients of upcoming appointments;
  • Classify and code diagnoses on charge documents to ensure reimbursement for services rendered;
  • Compile and maintain medical statistics and reports;
  • Assist in training new clerical and medical staff in unit procedures;
  • Perform other related duties as assigned.
Qualifications

Applicants should possess education, training, and experience in a medical services environment that has allowed them to perform various clerical tasks. A typical candidate will have at least one year of experience in a medical setting that involved direct client interaction and the use of medical terminology. Completion of a recognized medical assistant program may substitute for six months of this experience.

Knowledge and Skills Required
  • Familiarity with basic office practices, medical terminology, and interviewing techniques;
  • Ability to perform clerical duties under pressure and prioritize tasks effectively;
  • Proficiency in typing and maintaining accurate records;
  • Strong interpersonal skills to establish effective working relationships with medical and administrative personnel.
