POSITION OVERVIEW

The Patient Registration Specialist plays a crucial role in welcoming and assisting patients, visitors, healthcare providers, and staff in a professional and friendly manner. This position is responsible for accurately completing the registration process for patients across various departments, including Admitting, Outpatient Registration, and the Emergency Department. The specialist verifies demographic details, insurance coverage, and eligibility, while also explaining consent forms and financial responsibilities. Additionally, the role involves collecting payments and guiding patients through financial assistance options when necessary. Collaboration with team members and other hospital departments is essential for effective patient care.

KEY RESPONSIBILITIES

Essential Duties
  • Exemplifies a commitment to the mission of Swedish Medical Center, demonstrating a service-oriented approach and adhering to all hospital standards and responsibilities.
  1. Warmly greets and assists patients, visitors, healthcare providers, and staff in a timely and courteous manner, directing them to the appropriate locations.
  2. Efficiently completes patient registration and other system processes as required, whether in person or via phone.
  3. Confirms insurance benefits and eligibility, obtaining necessary pre-authorizations and referrals to ensure proper reimbursement and minimize claim denials. Collects payments and documents transactions accurately.
  4. Thoroughly explains consent forms and obtains necessary signatures, utilizing interpretive services when needed.
  5. Maintains accurate logs, lists, and statistical data as required.
  6. Collaborates effectively with team members, demonstrating flexibility in scheduling and proficiency in registering various patient types. Seeks additional responsibilities as needed.
  7. Exhibits sound judgment by promptly notifying management of any unusual occurrences or situations requiring attention.

  • Access to patient names, demographic information, financial data, and limited clinical details.
  • Computer system access is granted based on managerial requests and the principle of minimum necessary access as outlined in this job description.

QUALIFICATIONS AND BASIC REQUIREMENTS
  • Education and Experience
    • High school diploma or equivalent required; one year of college coursework preferred.
    • At least six months of experience in hospital or clinic registration, scheduling, patient financial services, or medical records is preferred.
  • Knowledge and Skills
    • Strong interpersonal communication and customer service skills.
    • Ability to interact positively and effectively with multiple departments.
    • Familiarity with basic medical terminology and anatomy.
    • Understanding of general policies and practices in clinical settings.
    • Proficient keyboarding skills at 45 words per minute.
    • Competent in computer usage.
    • Knowledge of Medicare, Public Aid, and managed care payment and reimbursement processes.
    • Ability to exercise good judgment and independent decision-making skills to effectively resolve issues and enhance departmental efficiency.
    • Strong organizational skills with the ability to prioritize tasks and adapt to changing demands.
