POSITION OVERVIEW

The Patient Registration Specialist is responsible for welcoming and assisting patients, visitors, physicians, and staff in a professional and courteous manner. This role involves accurately processing patient registrations across various departments, including Admitting, Outpatient Registration, and the Emergency Department. The specialist verifies patient demographic details, insurance coverage, and eligibility, while also explaining consent forms and financial responsibilities. Payment collection and referral to credit services for financial arrangements are also key components of this position. Collaboration with team members and other hospital departments is essential for effective operations.

KEY RESPONSIBILITIES

Essential Duties
  • Exemplifies a commitment to the mission of Swedish Medical Center, demonstrating a service-oriented approach and adhering to all hospital standards and responsibilities.
  1. Welcomes and assists patients, visitors, physicians, and staff promptly and courteously, directing or escorting them to the appropriate locations.
  2. Efficiently processes patient registrations and completes necessary system procedures as defined by departmental assignments (Admitting, Outpatient Registration, Emergency Department) in a timely manner, whether in person or via phone.
  3. Verifies insurance benefits and eligibility, obtaining pre-authorizations and referrals as needed to ensure reimbursement and minimize claim denials. Collects payments and documents transactions in the billing system.
  4. Thoroughly explains consent forms, utilizing interpretive services when necessary, and secures required signatures while managing all related paperwork appropriately.
  5. Maintains accurate logs, lists, and statistical information as required.
  6. Collaborates effectively with team members, demonstrating flexibility in scheduling and proficiency in registering all patient types. Seeks additional responsibilities as needed.
  7. Exhibits sound judgment by notifying management of any unusual occurrences or situations that require attention.

  • Access to patient names, demographic details, financial information, and limited clinical data.
  • Computer system access is granted based on managerial requests and follows the principle of minimum necessary access as outlined in this job description.

QUALIFICATIONS AND REQUIREMENTS
  • Education and Experience
    • High school diploma or equivalent is required; one year of college coursework is preferred.
    • At least six months of experience in hospital or clinic registration, scheduling, patient financial services, or medical records is required.
  • Knowledge and Skills
    • Exceptional interpersonal communication and customer service abilities.
    • Ability to engage positively and effectively with various departments.
    • Basic knowledge of medical terminology and anatomy.
    • Familiarity with clinical office policies and practices.
    • Proficient keyboarding skills at 45 words per minute.
    • Competent in computer usage.
    • Understanding of Medicare, Public Aid, and managed care payment requirements.
    • Ability to exercise sound judgment and independent decision-making skills to resolve issues and enhance departmental efficiency.
    • Strong organizational skills with the ability to prioritize tasks and adapt to changing demands.
