Position Overview:

The Customer Service Representative plays a vital role in ensuring customer satisfaction by managing requests for quotes, orders, and lead times. This position involves preparing quotations for both standard and custom items, processing orders, and communicating essential information to customers and suppliers. Collaboration with various departments is key to providing exceptional service and support to customers and the Outside Sales Team.

Key Responsibilities:
  • Handle incoming requests for price quotes, purchase orders, adjustments, and cancellations from domestic clients, original equipment manufacturers, and distributors.
  • Build and maintain strong relationships with customers to deliver outstanding service.
  • Support the Outside Sales Team with necessary information and resources.
  • Utilize business ERP systems to access customer data, stock status, and order updates, ensuring accurate information retrieval and entry.
  • Monitor and follow up on inquiries, quotes, and orders, coordinating with suppliers and warehouse personnel regarding delivery schedules.
  • Ensure all required documentation is collected and sent to customers promptly.
  • Engage with suppliers on technical, pricing, and delivery matters.
  • Respond to customer inquiries efficiently, demonstrating effective communication skills.
  • Assist accounts receivable with payment and credit-related issues.
  • Manage supplier relationships to ensure smooth operations.
  • Provide exceptional customer service while adhering to ethical standards.
  • Generate and maintain accurate documentation, including quotes.
  • Address and resolve customer complaints with a positive and innovative approach.
  • Collaborate with relevant departments to enhance customer satisfaction.
  • Contribute ideas for improving customer service processes and systems.
  • Maintain a clean and organized workspace, adhering to safety guidelines.

Qualifications:
  • Must be at least 21 years old.
  • High school diploma or equivalent required.
  • Strong written and verbal communication skills, with an emphasis on relationship building.
  • Detail-oriented with excellent organizational skills and the ability to manage multiple tasks in a fast-paced environment.
  • Proficient in MS Office (Word, Excel, Outlook) and willing to learn new software; experience with Epicor Prophet 21 is a plus.
  • Ability to listen effectively and reason well, with a strong capacity for learning product knowledge.
  • Experience in distribution and familiarity with product lines is advantageous.
  • Ability to work collaboratively with diverse personalities.
  • Consistent and punctual attendance is required.
  • Previous experience should include knowledge of parts and nomenclature, along with a proven ability to engage with customers and suppliers.
Work Environment:

The work environment primarily consists of an office setting, but may also include exposure to warehouses with moving equipment, variable temperatures, and various storage configurations. Reasonable accommodations may be made for individuals with disabilities to perform essential job functions.
