Position Overview: Communications Clerk
The Communications Clerk is responsible for managing multi-line telephone operations within the organization while also performing reception and administrative tasks. Additional duties may be assigned as necessary.
KEY RESPONSIBILITIES
Reception and Administrative Duties
• Greets and guides visitors to the designated sign-in area at reception. Ensures visitors complete the necessary information on the sign-in sheet and receive a dated visitor badge. Directs visitors to various locations within the facility in a friendly and professional manner.
• Manages the switchboard during standard business hours, directing incoming calls with courtesy. Operates paging systems and provides training for full-time and substitute phone operators as needed.
• Functions the switchboard and pages according to established protocols during drills and emergencies. Makes accurate announcements for drills or emergencies and ensures compliance with all necessary procedures. Returns to the switchboard during codes if on break or during lunch.
• Performs administrative support tasks at the reception desk to facilitate facility operations without compromising telephone and greeting responsibilities.

• Upholds the highest standards of customer service through courtesy, empathy, and effective communication.
• Advocates for the Mission and Vision of Hope Community Resources, Inc. within the workplace and the broader community.
• Maintains dignity and confidentiality by adhering to all relevant policies and procedures.
REQUIRED QUALIFICATIONS
Education and Training: High school diploma or equivalent is required.
Experience: Experience with multi-line phone systems is essential.
Knowledge, Skills, and Abilities:
Ability to interact appropriately with colleagues and the public. Capability to manage a busy switchboard effectively. Proficiency in accurately entering data into designated databases.
