Communications Clerk Position Overview

The Communications Clerk is responsible for managing multi-line phone operations while also performing reception and administrative tasks. Additional duties may be assigned as necessary.

KEY RESPONSIBILITIES

Reception and Administrative Duties


• Greets and guides visitors to the designated sign-in area at reception desks. Ensures visitors complete the required sign-in documentation and receive a dated visitor badge. Directs guests to various locations within the facility in a friendly and professional manner.

• Manages the switchboard during standard business hours. Handles incoming calls with politeness and efficiency. Operates paging systems and provides training for both full-time and substitute phone operators as needed.

• Follows established procedures for switchboard operations during drills and emergencies. Makes accurate announcements for drills or emergencies and ensures compliance with all necessary protocols. Returns to switchboard duties during emergency codes if on break or during lunch.

• Completes clerical tasks at the reception desk to support facility operations without compromising telephone and greeting responsibilities.

• Upholds the highest standards of customer service through courtesy, empathy, and effective communication.

• Advocates for the Mission and Vision of Hope Community Resources, Inc. within the workplace and the broader community.

• Maintains dignity and confidentiality by adhering to all relevant policies and procedures.

REQUIRED QUALIFICATIONS

Education and Training: High school diploma or equivalent.

Experience: Previous experience with multi-line phone systems is required.

Knowledge, Skills, and Abilities:

Ability to interact effectively with staff and the public. Proficient in managing a busy switchboard. Capable of accurately entering data into designated databases. Familiarity with basic office equipment and practices to support facility operations.
