The Executive Assistant to the CEO plays a pivotal role in providing high-level administrative support in a close-knit working relationship with the CEO. This position acts as the primary liaison for both internal and external stakeholders regarding all matters related to the Office of the CEO. The Executive Assistant also engages with investors and senior management teams, coordinates executive outreach, and oversees special initiatives.
Key Responsibilities
- Administrative Support: Manage a dynamic calendar for the CEO, prepare expense reports, draft confidential correspondence, and arrange intricate travel itineraries and agendas.
- Schedule Management: Ensure the CEO's schedule is adhered to and respected, acting as a gatekeeper to facilitate direct access to the CEO.
- Issue Management: Research and prioritize incoming concerns directed to the CEO, determining the appropriate course of action.
- Communication Facilitation: Serve as a bridge for effective communication between the CEO's office and various internal departments, maintaining credibility and trust.
- Project Management: Lead and manage special projects for the CEO, some of which may have significant organizational impact.
- Training and Development: Mentor other Executive Associates to enhance their effectiveness within the organization.
- Personal Assistance: Handle personal tasks for the CEO with discretion, including managing personal appointments.
Senior Management Coordination
- Participate as an adjunct member of the Executive Team, assisting in meeting scheduling and coordination.
- Support the organization of senior management meetings and off-site events.
Communication and Outreach
- Maintain and update the CEO's biography and respond to requests for information.
- Draft and edit communications for external stakeholders.
- Conduct research and prepare presentations for the CEO.
Qualifications
- U.S. citizenship is required.
- Ability to obtain and maintain a SECRET security clearance.
- Strong organizational skills with attention to detail.
- Excellent interpersonal and communication skills.
- Proven ability to handle confidential information with discretion.
- Bachelor's degree is required.
- Five to ten years of experience supporting C-level executives.
- Proficient in Microsoft Office Suite and other relevant software.
