Position Overview

The Executive Assistant to the CEO plays a pivotal role in providing high-level administrative support in a one-on-one capacity. This position acts as the primary liaison for both internal and external stakeholders regarding all matters related to the Office of the CEO. The Executive Assistant is also responsible for facilitating communication with investors and senior management teams, coordinating executive outreach, and managing special projects.

Key Responsibilities

  • Administrative Support: Execute a wide range of administrative tasks for the CEO, including managing a dynamic calendar, preparing expense reports, drafting confidential correspondence, and organizing complex travel arrangements.
  • Schedule Management: Ensure the CEO's schedule is adhered to and respected, acting as a gatekeeper to optimize access to the CEO's time.
  • Issue Management: Research and prioritize incoming issues directed to the CEO, determining the appropriate course of action or response.
  • Internal Communication: Serve as a bridge for effective communication between the CEO's office and various departments, fostering credibility and trust with senior management.
  • Project Management: Collaborate closely with the CEO to keep him/her informed of commitments and responsibilities, while managing various special projects that may impact the organization.
  • Training and Development: Mentor other Executive Associates to enhance their effectiveness within the organizational structure.
  • Personal Assistance: Handle personal tasks for the CEO with discretion, including managing personal appointments and travel.

Senior Management Coordination

  • Participate as an integral member of the Executive Team, assisting in meeting scheduling and coordination.
  • Help organize the agenda for senior management meetings and off-site events, leading other Executive Administrators as necessary.

Communications and Outreach

  • Maintain the CEO's biography and respond to requests for information regarding the CEO and the organization.
  • Edit and prepare drafts for written communications to external stakeholders.
  • Conduct research and organize data for presentations to be delivered by the CEO.

Qualifications

  • U.S. citizenship is mandatory.
  • Ability to obtain and maintain a SECRET security clearance.
  • Strong organizational skills with a keen attention to detail.
  • Exceptional interpersonal skills to build relationships with various stakeholders.
  • Proficient in written and verbal communication.
  • Proven problem-solving abilities and decision-making skills.
  • Ability to manage confidential information with the utmost discretion.
  • Demonstrated capability to meet deadlines in a fast-paced environment.
  • Bachelor's degree is required.
  • A minimum of five years of experience supporting C-level executives is preferred.
  • Proficient in Microsoft Office Suite and other relevant software.
