POSITION SUMMARY:

The primary role of the Healthcare Practice Manager is to provide strategic leadership, oversee daily operations, and ensure effective management of the healthcare practice(s).

This position also entails delegating responsibilities to staff members and supervising the various functions of the practice(s) to guarantee that objectives are met.


KEY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:


Actively aligned with the mission, vision, and values of Cibola General Hospital and Cibola Family Health Center, promoting an inclusive workplace culture.

Oversees the operational management of routine business and clinical activities through administrative and clinical personnel, including front desk staff, billing/coding specialists, and medical assistants, to optimize resource utilization and ensure efficient service delivery.

Directs and manages family and specialty practice(s):

Monitors patient flow to ensure optimal use of physician time and adequate staff coverage.
Reviews patient registration and data entry for accuracy and timeliness.
Develops workload reports to adjust staffing as needed.
Addresses patient complaints effectively.
Analyzes charges, visit encounters, and cash receipts for discrepancies. Conducts audits to ensure adherence to established policies and procedures.
Evaluates lab and imaging service usage, physician billing accuracy, and charge capture.
Provides necessary training for physicians and staff.
Conducts surveys and feedback sessions with patients and staff.
Analyzes average patient wait times.
Identifies opportunities for practice/business development to enhance market share.

Supervises the Clinic Front Office Supervisor, Medical Assistant Clinic Supervisor, and Patient Care Population Health Supervisor.
Engages in regular discussions with physicians to address their business needs and:

Resolves administrative and medical issues.
Maintains open communication between practice staff and administration.
Fosters a positive work environment with high employee morale and professional efficiency.

Develops, implements, and monitors annual practice budgets by:

Analyzing the financial implications of changes in clinical operations and forecasting actual revenues and expenditures against the approved budget.
Suggesting corrective measures as necessary.

Conducts cost/benefit analyses for new patient care services and equipment to maximize revenue.
Recommends the introduction or purchase of new services or equipment.
Meets regularly with physicians to review financial performance and key practice metrics.
Ensures compliance with receivable and collection guidelines by practice staff.
Monitors procurement for each practice.

Develops corrective strategies for excessive order volumes or costs and communicates these strategies with relevant personnel.

Ensures the selection of cost-effective vendors and products.
Assesses employee performance and provides constructive feedback in collaboration with the VP of Human Resources.
Oversees daily and monthly expenditures, staffing levels, and overtime hours.
Provides coaching, mentoring, counseling, and disciplinary actions as needed.
Recommends professional development opportunities for staff.
Ensures compliance with regulations with the support of the Compliance Officer and VP of Human Resources.

Develops and manages the implementation of internal practice policies and procedures in alignment with standard policies.

Interprets relevant laws, rules, and regulations to ensure compliance.
Cultivates effective communication across all levels of personnel.

Ensures that all team members adhere to the hospital's Code of Conduct to maintain an ethical work environment.

Prepares and proposes clinic budgets.

Collaborates on weekly, monthly, and quarterly reports regarding patient no-shows, daily patient visits, wait times, and year-to-date office visits.

Assists the VP of HR with Provider Satisfaction Surveys.
Collaborates with the Marketing Team on clinic outreach initiatives.

EDUCATION AND EXPERIENCE
Bachelor's Degree and/or equivalent work experience
Minimum five years of experience in a healthcare environment
Seven to ten years of direct supervisory experience in a similar role

PREFERRED EDUCATION
1. Master's Degree

KNOWLEDGE AND SKILLS
Proficiency in computer applications is essential
Ability to follow detailed instructions with precision
Strong interpersonal skills

ADDITIONAL QUALIFICATIONS
Bilingual (English/Spanish) is preferred
