The role of Property Operations Administrator is integral to providing outstanding property management services. This position supports the Property Management team in various daily tasks, including financial management, administrative duties, customer service, and fostering positive tenant relationships.

Key Responsibilities:

  • Manage and organize File Notices to Owners.
  • Keep the Encumbrances Report updated.
  • Assist in preparing Lease Abstracts.
  • Review cash receipts for approval by the Assistant Property Manager.
  • Maintain accurate Tenant Accounting Contact Information.
  • Ensure Tenant Certificates of Insurance are current and properly documented.
  • Handle incoming calls to the management office.
  • Welcome guests and visitors, addressing their inquiries with professionalism and courtesy.
  • Enhance tenant satisfaction by promptly addressing service requests.
  • Facilitate effective communication among team members through various channels.
  • Act as the management office's representative, reflecting CP Group's commitment to quality service.
  • Utilize independent judgment to ensure compliance with insurance requirements.
  • Document potential liability incidents related to property and equipment.
  • Coordinate regular maintenance requests, prioritizing safety and security.
  • Negotiate maintenance contracts with service providers.
  • Oversee team schedules and appointments.
  • Process incoming and outgoing mail while maintaining confidentiality.
  • Monitor office supplies and reorder as necessary.
  • Assist in proofreading and editing documents.
  • Ensure timely maintenance of office equipment.
  • Adapt to changing circumstances while maintaining performance under pressure.
  • Process accounts payable weekly for review by the Assistant Property Manager.
  • Discuss statements with tenants regarding outstanding balances.
  • Generate statements for miscellaneous charges detailing amounts owed.
  • Request missing invoices and necessary documentation from vendors.
  • Update billable work orders to facilitate tenant billing.
  • Review budgets to ensure accurate invoice coding.
  • Verify the accuracy of Engineering Billable Work Orders.
  • Contact tenants regarding short rent payments and related issues.

Qualifications:

  • High School Diploma required; a bachelor's degree is preferred.
  • Experience in supporting a Commercial Property Management Team.
  • Proficiency in Microsoft Office, Excel, and property management software.
  • Resourceful problem-solving skills and ability to navigate challenges.
  • Project Management experience is a plus.
  • Strong commitment to customer service excellence.
  • Self-motivated with the ability to work independently and collaboratively.
  • Exceptional time management and organizational abilities.
  • Ability to work effectively within a diverse team environment.
  • Successful completion of background screening is required.
