Blue Raven Solutions, a leading provider of tech-enabled supply chain management solutions, is seeking an experienced Administrative Coordinator to support the day-to-day operations of our Morristown, NJ office. As a key member of our team, you will provide administrative support to our executives, greet visitors, and maintain office supply inventory. You will also assist the sales operations team with administrative tasks, including pulling and scrubbing reports, maintaining data, and sharing information with the sales team as needed.

Key Responsibilities:

  • Provide administrative support to executives, including scheduling appointments and managing calendars.
  • Greet visitors and facilitate visitor prescreening.
  • Maintain access to visual compliance to screen visitors.
  • Oversee daily facilities management activities, including ordering lunch and maintaining the appearance and cleanliness of the break rooms and kitchen.
  • Monitor traffic of incoming visitors within company property by adhering to company's visitation policy.
  • Purchase office supplies with company purchasing policies and budgetary restrictions.
  • Maintain consistent inventory of office, kitchen, and marketing supplies.
  • Manage incoming and outgoing correspondence, including emails, faxes, mail, and packages.
  • Monitor inbound PO's, outbound SO's, Issued RMA's, Discrepant Material and communicate with Sales to keep dates current/updated.
  • Assist Sales with completion of company forms for new Vendors and Customers.
  • Support Sales with daily functions as needed.
  • Assist in coordination of all company events, including parties, corporate events, and employee outings.
  • Act as the point of contact and communications hub among executives, employees, clients, and other external partners.
  • Manage information flow in a timely and accurate manner.
  • Assist with special projects as needed.

Requirements:

  • High school diploma or equivalent. Bachelor degree, preferred.
  • 1+ years of office and/or executive administration experience in an office of at least 75 people.
  • Experience in a fast-paced environment.
  • Ability to multitask and complete tasks in a timely manner; deadline driven environment.
  • Proficiency with MS Office (Word, Excel, PowerPoint).
  • Keen attention to detail.
  • Use known education principles and stay up to date on new training methods and techniques.
  • Adequate knowledge of learning management systems and web delivery tools.
  • Strong interpersonal communication skills.
  • Warm and welcoming personality and great organizational skills.
