Job Summary

Crane & Seager Orthodontics is seeking a highly organized and detail-oriented Treatment Coordinator to join our team. As a key member of our front office staff, you will play a vital role in ensuring the smooth and successful appointments of all new patients.

Responsibilities
  • Assist in setting up treatment rooms for new patient exams and ensure all necessary paperwork is completed.
  • Welcome new patients and parents with a warm smile and ensure their experience is enjoyable every time.
  • Verify new patient charts to ensure accurate information was entered upon scheduling.
  • Responsible for new patient paperwork, including completing online questionnaires and ensuring HIPPA compliance.
  • Complete New Patient Xrays for appointments and provide accurate pricing based on treatment plan recommendations.
  • Work with patients to set up comfortable monthly payments that align with office guidelines.
  • Keep accurate records of all contracts, fees, referrals, and other important information.
  • Communicate with the Front Desk Coordinators to fill the schedule as needed.
  • Ensure accurate charting and insurance information is entered correctly for Insurance Coordinator to submit.
  • Collect and scan new insurance information into patient charts.
  • Sign contracts with patients or parents before or on the banding date and have them submitted to the Insurance Coordinator by the next working day.
  • Answer patient questions regarding treatment and work with Practice Managers to ensure all contracts and documents are up to date.
  • Attend staff meetings, front office meetings, and daily huddles to stay informed and represent the practice in a positive way.
Requirements
  • At least 1 year of treatment coordinating experience is required.
  • Self-motivated, organized, and positive attitude.
  • Excellent communication and written skills.
  • Great understanding of dental terminology.
  • Excellent public relations skills.
  • Ability to work well with patients and team.
  • Deliver high-level customer service.
  • Commitment to arriving on time daily and staying late as needed.
  • Excellent computer skills, including Microsoft Word, Excel, Teams, and Outlook.
