Job Overview

Position Summary: The Scheduling Coordinator plays a vital role in ensuring a seamless experience for patients and healthcare providers.

Key Responsibilities:

  • Respond to all incoming calls with professionalism and a positive demeanor.
  • Collect and update demographic information for new and existing patients.
  • Manage appointment scheduling, including rescheduling and cancellations as required.
  • Maintain accurate and current physician schedules to ensure proper patient appointments.
  • Conduct insurance verification and obtain necessary authorizations.
  • Handle scheduling and documentation related to both incoming and outgoing referrals.
  • Optimize the provider's schedule for maximum efficiency.
  • Communicate effectively with patients and clinic staff to provide timely information.
  • Utilize computerized scheduling systems to coordinate mutually convenient appointment times.
  • Prepare necessary documentation for upcoming patient visits.
  • Request external medical records and imaging for upcoming appointments.
  • Uphold patient confidentiality and adhere to HIPAA regulations.
  • Maintain a daily task list to ensure all responsibilities are addressed.
  • Encourage participation in the patient portal.
  • Be cross-trained to assist in other administrative roles, including front desk support as needed.
  • Perform additional front office duties as assigned.
  • Provide scheduling support for Telehealth appointments.
  • Scan and manage medical records for new patients with upcoming appointments.
  • Distribute new patient paperwork using designated software and offer technical assistance.

Qualifications:

  • Ability to sit for extended periods while working at a desk and on a computer.
  • Capability to lift items weighing up to 15 pounds.
  • Strong multitasking skills and attention to detail.
