Position Overview:


The Intake Specialist plays a crucial role in gathering precise demographic, financial, and medical information from patients seeking healthcare services, adhering to established policies and procedures while maintaining confidentiality.

This position serves as the primary point of contact for all initial communications during the registration process, ensuring a courteous and professional interaction.


Key Responsibilities:
  • Conduct insurance verification and document upfront collections prior to the scheduled service date for both scheduled and pre-registered patients.
  • Facilitate the approval process (pre-authorization/prior-approval) for scheduled and pre-registered accounts.
  • Manage pre-registration (via phone or form) for patients as required or requested.
  • Coordinate all new and follow-up patient appointments, communicate cancellations, and attempt to reschedule when necessary.
  • Maintain an inventory of clinical and office supplies, placing orders within budget as assigned.
  • Ensure that key ADT information is current and accurate to promote patient safety, proper charging, coding, insurance processing, and billing accuracy.
  • Complete and document all necessary governmental, regulatory, financial, and contractual forms in accordance with procedures, ensuring documents are scanned and saved correctly.
  • Meet departmental targets for registration wait times and upfront collections, including deposits, estimated amounts due, co-pays, and prior balances.
  • Deliver exceptional customer service by consistently demonstrating a caring, positive, professional, and helpful demeanor in all customer interactions.
  • Enhance co-worker satisfaction by being self-motivated, a positive communicator, and a supportive team player.
  • Participate actively in departmental quality assurance by utilizing system work queues, reducing individual errors, and making necessary corrections.
  • Effectively mentor new co-workers as assigned.

Education Requirements:
  • High School Diploma or GED; a college degree is preferred.

Licensure/Certification Requirements:
  • No specific licensure or certification required.

Professional Experience Requirements:
  • Minimum of 2 years of customer service and/or clerical experience, preferably in a healthcare setting with exposure to patient registration, scheduling, or insurance authorization processes.

Knowledge, Skills, and Abilities:
  • Language Skills: Proficient in reading and interpreting documents such as safety rules, operating instructions, and procedure manuals. Capable of writing routine reports and correspondence, and speaking effectively before groups.
  • Mathematical Skills: Ability to apply basic mathematical skills, including counting money and making change.
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions in written, oral, or diagram form, and to address problems involving several concrete variables in standardized situations.
