About the Role:
We are seeking an experienced Administrative Specialist Sr. to join our team at South Mountain Community College. As a key member of our Counseling Division, you will provide administrative support to our faculty and staff, ensuring the smooth operation of our office. Your exceptional organizational skills, attention to detail, and ability to multitask will be essential in this role.
Key Responsibilities:
• Provide administrative support to the Counseling Division, including office coordination, front desk receptionist duties, scheduling appointments, and preparing/maintaining office records/reports.
• Assist with the hiring and monitoring of work-study students, as well as collaboratively supporting faculty and staff in the Behavioral Sciences program.
• Prepare and maintain routine and non-routine correspondence, reports, documents, records, and files, managing documentation/record-keeping systems in accordance with established standards and guidelines.
• Coordinate and process class schedule building, classroom/room reservation, ordering textbooks, contacting adjuncts, finding subs, and sending communiques.
• Update and maintain schedules, calendars, and related meeting materials, including department meeting agendas, meeting minutes, and hosting department Zoom/Google meetings.
Requirements:
• Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support, and/or administrative coordination activities.
• OR High School Diploma/GED and four (4) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support, and/or administrative coordination activities.
Preferred Qualifications:
• Bilingual: English/Spanish preferred.
• Administrative office duties providing a wide variety of secretarial, administrative office support, and/or administrative coordination activities.
• Computer and technical skills for office services, including the effective use of Google Docs, Microsoft Word, Excel, and PowerPoint presentations.
• Effective written communication skills.
• Management or Leadership skills.
