The role involves managing and confirming travel arrangements for program participants according to client guidelines, ensuring all expectations are fulfilled. The scope of this position varies based on the assigned programs, which differ from client to client and program to program. You may handle approximately 10,000-15,000 participants, 3,000 inbound inquiries, and 30-50 programs each fiscal year.

Key Responsibilities

55% - Travel Booking: Responsible for booking airline reservations for program attendees in accordance with client specifications. This includes utilizing standard workflows, applying relevant airline contracts, managing block space, completing program accounting details, and storing fare information. Address attendee inquiries and provide program-related information. Communicate travel itineraries, fare rules, confirmation numbers, cancellation policies, upgrades, seating confirmations, and industry updates through various communication channels. Document all airline records using the Global Distribution System (GDS). Ensure accurate ticketing of price quotes, maximize preferred carriers, and comply with ARC (Airline Reporting Corporation) policies. Provide Travel Directors with necessary documentation and information for successful program operations.

25% - Deadline Management: Monitor and follow up on critical dates to ensure timely reporting and program deadlines are met. Relay important updates to Project Managers and relevant team members. Address attendee land requests and review websites prior to launch. Conduct weekly accuracy checks on reports. Complete all accounting tasks as per client specifications and communicate any unpaid attendee statuses to Project Managers and Supervisors before final mailing or program operation.

20% - Continuous Learning: Participate in ongoing training to enhance knowledge, skills, and abilities. Undertake special assignments as directed by management. Attend departmental and program meetings to discuss updates, industry changes, policies, client-specific information, process improvements, challenges, best practices, and to recognize team members. Research customer inquiries as needed.

Qualifications

1. A Bachelor's degree or equivalent experience in the travel industry is required. A degree in Hospitality or Event Management is advantageous.

2. Demonstrated strong customer service skills.

3. Detail-oriented with robust problem-solving abilities to research and resolve customer inquiries independently.

4. Excellent oral and written communication skills, along with effective listening abilities to ensure customer satisfaction with reservations.

5. Proficient in MS Office (Word, Excel, PowerPoint) and possess the technical aptitude to learn new technologies.

6. Capable of managing multiple demands simultaneously.

7. Dependable and punctual for all scheduled shifts.
