Job Overview

Position Summary

The Procurement Support Specialist will assist the Purchasing Specialist in the acquisition, management, and distribution of specialty medications and pharmacy supplies tailored for rare diseases within the organization. This entry-level position emphasizes support in sourcing strategies, vendor relations, and adherence to applicable regulations.

Key Responsibilities

  • Facilitate the sourcing and procurement of prescription medications from suppliers, ensuring compliance with pricing and delivery timelines.
  • Track inventory levels, recognize purchasing requirements, and relay this information to the Purchasing Specialist.
  • Help cultivate vendor partnerships to guarantee quality service and dependability.
  • Assist in managing inventory processes, including routine stock assessments and reconciliations.
  • Contribute to the development and enhancement of inventory accuracy protocols.
  • Procure packaging and shipping materials as needed.
  • Oversee the shipping, receiving, and inspection of incoming supplies, confirming shipments against purchase orders and invoices.
  • Maintain precise records, document data, and monitor the status of shipments.
  • Support the maintenance and management of equipment utilized in procurement and distribution.
  • Participate in the formulation and evaluation of standard operating procedures.
  • Ensure compliance with federal, state, and local record-keeping regulations.
  • Assist in managing returned goods, expired inventory, and product recalls.
  • Complete necessary compliance training and remain informed about relevant guidelines.
  • Perform additional tasks as directed by the Purchasing Specialist or Supervisor.

Qualifications

  • Exceptional attention to detail with the capability to execute tasks accurately and efficiently, even amidst frequent interruptions.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel) and basic familiarity with pharmacy management software.
  • Ability to adapt to shifting priorities and collaborate effectively within a team environment.
  • Strong interpersonal, verbal, and written communication skills.
  • Excellent organizational abilities and capacity to manage multiple tasks simultaneously.

Education and Experience

  • High school diploma or equivalent GED.
