Operations Coordinator for Wellness Brand

WTHN is an innovative and rapidly expanding brand focused on acupuncture and wellness, deeply rooted in Traditional Chinese Medicine (TCM). Our goal is to enhance the accessibility of holistic TCM practices. We prioritize our people and health, aiming to create a significant positive impact on our clients' mental, physical, and emotional well-being.

We are in search of a proactive Operations Coordinator who will collaborate across various operational domains, including direct engagement with the leadership team. This position influences multiple facets of the organization, encompassing product innovation, wholesale support, marketing initiatives, customer relations, supply chain management, and beyond.

WHO YOU ARE:

  • 1-2 years of relevant operational experience; experience in a start-up environment is advantageous.
  • Enthusiastic about learning and growing in a hands-on role within a developing brand.
  • Experience in supply chain management and familiarity with platforms such as Shopify, DEAR IMS, or other inventory systems is beneficial.
  • Adept at cross-functional collaboration and effective communication.
  • Comfortable working independently as well as part of a larger team with a shared mission.
  • A personal interest in wellness and/or Traditional Chinese Medicine is a plus.

RESPONSIBILITIES:

Product Development

  • Support the Head of Product with ongoing and new initiatives, which may include conducting tests/surveys, reviewing product samples, providing feedback, and coordinating with key stakeholders across marketing, wholesale, and leadership teams, as well as planning and executing go-to-market strategies.

Supply Chain Management

  • Partner with the Data team for monthly inventory forecasting; manage the purchase order calendar, monitor status, and ensure timely ordering and receipt of inventory aligned with sales forecasts and trends.
  • Communicate stock levels to essential stakeholders across marketing, wholesale, leadership, and studio teams.
  • Work towards enhancing supply chain efficiencies related to shipping, cost of goods sold, and other financial drivers; assist in analyzing the supply chain budget and optimization efforts.
  • Ensure accurate inventory flow across all channels (DEAR, Shopify, Boulevard, Cin7, etc.).

3PL Management

  • Act as the primary liaison between WTHN and third-party logistics providers: conduct weekly calls and maintain daily communications as necessary.
  • Oversee order management, including inbound and outbound shipping monitoring and service level agreement tracking.
  • Implement and manage kitting project timelines with the 3PL team to maintain appropriate stock levels for kitted products.
  • Manage post-sale wholesale operations, including routing guides, electronic data interchange, packing requirements, and freight logistics.

Marketing Operations:

  • Provide backend support for Shopify, including inventory management and page development.
  • Assist with go-to-market strategies.
  • Oversee customer service operations for e-commerce.
