Position Overview
We are currently seeking a highly organized and proactive Administrative Coordinator to provide essential support to the Divisional President. This full-time role offers a unique opportunity to engage in a variety of administrative tasks, office management, event coordination, and onboarding of new team members. The successful candidate will also assist with IT issue resolution, sales and marketing initiatives, and construction-related support.
Key Responsibilities
- Administrative Duties: Schedule meetings, prepare agendas, notarize documents, maintain necessary licenses, and assist with strategic planning updates.
- IT Coordination: Manage and resolve employee IT issues with external vendors.
- Office Management: Oversee daily office operations, including maintenance and supplies, while ensuring a professional environment.
- Human Resources Support: Assist with interview scheduling and prepare materials for new hires.
- Financial Administration: Handle vendor setups, process invoices, and manage settlement agreements.
- Sales and Marketing Assistance: Support marketing efforts through event planning and preparation of training materials.
- Construction Assistance: Provide administrative support to the Construction Manager, including tracking orders and approving invoices.
- General Support: Offer additional administrative assistance as needed.
Qualifications
- 3-5 years of relevant administrative experience.
- Ability to manage interruptions and prioritize tasks effectively.
- Strong customer service skills and rapport-building abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- High School Diploma required; Associate degree preferred.
Compensation and Benefits
