Position Overview

Tacoma Community College is in search of a meticulous and highly organized individual to fill the role of Administrative Assistant 3 for the Associate Dean of Nursing. This position is crucial for providing high-level administrative assistance to the Associate Dean within our nursing department.

The selected candidate will play a key role in promoting the effective functioning of the nursing program and will contribute to achieving both academic and administrative objectives.

The ideal applicant will demonstrate a strong commitment to collaboration with faculty, staff, and administrators to enhance student access and support.

Key Responsibilities

  • Deliver confidential administrative support to the Associate Dean, including managing schedules, organizing meetings, and coordinating travel logistics.
  • Act as the primary liaison for internal and external communications, ensuring professional correspondence on behalf of the Associate Dean.
  • Utilize discretion and diplomacy to engage effectively with diverse groups, including staff, students, and community members.
  • Represent the nursing program in various meetings and college activities.
  • Oversee the development of quarterly class schedules using campus software, ensuring alignment with the course calendar.
  • Collaborate with divisional leadership to resolve scheduling conflicts and maintain accurate course offerings.
  • Manage faculty contracts in conjunction with Human Resources.
  • Maintain organized records related to the nursing program, including budget tracking and accreditation documentation.
  • Assist in the planning and execution of departmental events and special projects.
  • Support the onboarding and offboarding processes for faculty and staff.

Qualifications

Minimum Requirements:

  • High school diploma or equivalent.
  • Experience in office administration or business practices.
  • Proficiency in Microsoft Office Suite, including Excel and Outlook.

Preferred Qualifications:

  • Experience with PeopleSoft software.
  • Supervisory experience.
  • Background in managing budgets.
  • Prior administrative experience in an academic or healthcare environment.
