The Department of Medicine, Division of Clinical Operations, is pleased to announce a full-time opportunity for a Senior Project Coordinator to operate on-site. The Senior Project Coordinator is responsible for overseeing project activities to ensure timely completion. This position offers essential administrative and logistical support, including arranging meetings, tracking progress, and maintaining documentation. Additionally, this role involves preparing detailed action plans that outline available resources, timelines, and budgets for various projects.

CORE FUNCTIONS

  • Facilitates the assignment of tasks to internal teams, including managing schedules.
  • Assists in budget preparation and monitors all project-related expenses.
  • Tracks project progress and addresses any arising issues.
  • Identifies and communicates any shortfalls in project completion.
  • Acts as the primary contact and updates relevant stakeholders on project status.
  • Informs the project team of any changes to timelines and new information.
  • Creates and maintains thorough project documentation, plans, and reports.
  • Ensures all necessary documentation is current and appropriately organized.
  • Reviews project objectives against deliverables to ensure compliance with standards and requirements.
  • Organizes, attends, and actively participates in project meetings.
  • Prepares necessary materials for project presentations.
  • Takes detailed notes and records minutes during meetings.
  • Evaluates existing procedures and suggests improvements for planning and scheduling efficiency.
  • Adheres to University and departmental policies and safeguards University assets.

CORE QUALIFICATIONS

  • High school diploma or equivalent.
  • A minimum of 3 years of relevant experience.

  • Effective communication skills in both oral and written forms.
  • Ability to maintain positive interpersonal relationships.
  • Capability to work independently and collaboratively.
  • Proficient in preparing and maintaining records, files, reports, and correspondence accurately.
  • Ability to comprehend and follow instructions effectively.
  • Attention to detail in completing assignments accurately.
  • Experience in budget management and working within budget constraints.
  • Ability to handle confidential information with discretion.
  • Proficiency in computer software, including Microsoft Office.
