Position Summary:
We are looking for a meticulous and proactive Sales Support Coordinator to assist our sales department with various administrative functions. This position is essential for ensuring seamless operations within the sales team and fostering effective communication and collaboration among team members.
Key Responsibilities:
Ongoing Sales Activities:
- Maintain a bi-weekly attendance record for sales meetings.
- Review and input all pertinent meetings into the project management system, ensuring accurate details and designated assignees.
- Distribute and compile surveys on behalf of the sales team, providing feedback to the requestor and following up on responses.
- Manage and refresh the sales agent directory, sending annual maintenance requests to verify contact information.
- Update territory maps as necessary.
Support for Sales Representatives:
- Keep a comprehensive list of redemption requests per agency in a master Excel file and forward to relevant processing staff.
- Provide monthly balance updates to sales representatives.
Training Coordination:
- Organize events and create registration links.
- Maintain a log of designers and their corresponding sales representatives attending training sessions, noting any cancellations or absences.
- Process reimbursements for designers upon completion of training.
- Coordinate various tasks related to training events, including creating registration links, ordering certificate holders, scheduling presenters, and arranging accommodations.
- Order catering for training sessions and ensure all necessary materials and logistics are prepared.
- Send post-training surveys to attendees and manage refunds as necessary.
Visitor Coordination:
- Ensure dealer information is available for visitors.
- Coordinate the schedule for tours and meetings.
- Manage guest lists, including internal participants.
- Order catering for events and reserve rooms as required.
- Create agendas and send invitations to necessary internal departments and attendees.
Marketing Support:
- Open tickets for marketing requests related to both internal and external sales needs.
Qualifications:
- Exceptional organizational skills and attention to detail.
- Proficient in project management tools and Excel.
- Strong communication and follow-up abilities.
- Capability to manage multiple tasks and prioritize effectively.
- Previous experience in a sales support or administrative capacity is preferred.
