Position Summary:
Under the guidance of an experienced event planner or coordinator, the Event Management Specialist plays a crucial role in providing hospitality, logistical assistance, guest services, and resources to participants and attendees. Key responsibilities encompass event ticketing, seating arrangements, registration processes, preparation of printed or digital materials, and managing a welcome or information desk. This position requires ensuring the proper setup of physical spaces, audiovisual equipment, and catering services, as well as supporting guest speakers and maintaining order during large or intricate events.
Primary Responsibilities:
- Event Planning and Execution:
- Assist in the planning and execution of events from initial concept to final delivery.
- Coordinate logistical elements, including platform selection, audiovisual requirements, and technical support.
- Develop and maintain comprehensive event timelines, budgets, and task lists.
- Engage with stakeholders to ensure the delivery of high-quality events.
- Manage event registration and provide support to attendees.
- Marketing and Outreach:
- Work collaboratively with the marketing team to devise effective event promotion strategies.
- Create and disseminate marketing materials, such as flyers, brochures, emails, and social media content.
- Monitor and evaluate the effectiveness of marketing campaigns.
- Vendor and Partner Relations:
- Identify, negotiate, and maintain relationships with vendors and service providers.
- Virtual Event Coordination:
- Oversee the setup, execution, and dismantling of virtual events.
- Troubleshoot issues and provide support to attendees, speakers, and staff during virtual events.
- Ensure accessibility for all participants, including provisions for closed captions and sign language interpreters.
