Position Location: Brick, NJ

The ideal candidate will possess expertise in Dispatch and have a background in Facility Maintenance or a related field.

Role Summary:

The Service Operations Coordinator plays a crucial role in overseeing work orders for designated clients, regions, and trades as directed by the Account Manager. This position entails vendor management, negotiation with subcontractors, project oversight, and effective communication through various customer portals. The Coordinator will report directly to the Account Manager and must demonstrate exceptional verbal and written communication skills. Familiarity with trades such as plumbing, electrical, and carpentry is advantageous.

Key Responsibilities:
  • Assign and dispatch appropriate subcontractors to work orders based on their capabilities to meet project scope, pricing, timelines, and customer KPIs.
  • Maintain consistent communication with subcontractors to ensure project timelines are adhered to.
  • Track and collect information from subcontractors regarding pricing and project scopes, ensuring accuracy and submission of required documentation.
  • Collaborate with the Account Manager on any service work order escalations, including urgent requests from clients, ongoing project issues, scheduling conflicts, and cancellations.
  • Negotiate pricing with subcontractors, ensuring all details are documented and reviewed for accuracy before submission to estimators.
  • Evaluate and reconcile subcontractor invoices, addressing any discrepancies or disputes as necessary.
  • Communicate effectively with subcontractors regarding job site issues, including scope changes, additional work requirements, and pricing adjustments.
  • Document notes in the service portal and client portals, ensuring all information is current and precise.
  • Meet client expectations and timelines consistently.
  • Maintain an average turnaround of four days for all open work orders from initiation to completion.
  • Participate in the rotational on-call schedule as required.
  • Perform any additional tasks assigned by the Account Manager.
Required Meetings:

· Weekly KPI Meetings with Account Managers

Candidate Qualifications:
  • 3-5 years of experience in service dispatching with subcontractors in the facility maintenance sector is preferred.
  • Familiarity with Service Channel, OfficeTrax, Corrigo, and other customer portal systems is a plus.
  • Knowledge of restaurant construction practices is highly desirable.
  • Must be legally authorized to work in the U.S. without sponsorship at the time of hire.
  • Proficient technical skills, including computer literacy, internet navigation, and file sharing capabilities are required.
  • Strong personal management skills, dedication, and organizational abilities are essential.
