Job Summary

The Administrative Office Associate will provide critical support to the daily operations of Early College Programs at Hagerstown Community College. This role will assist the Director and Coordinator of Early College Programs in various administrative and clerical tasks.

Key Responsibilities
  • Provide administrative support to the Director and Coordinator of Early College Programs, including preparing applications, sending decision letters, and assembling welcome folders.
  • Oversee student attendance collection and create weekly reports for Washington County Public Schools.
  • Organize Free and Reduced Meals funding distribution for eligible ECDP students.
  • Assist with updating marketing materials, including the website, flyers, and transfer poster.
  • Prepare Blueprint Registration Appeal documents and send decision letters.
  • Conduct front-line customer support and assistance to students and others, handling inquiries and requests by phone, email, and in person.
  • Organize ECDP Celebration logistics, including submitting space reservations, sending save-the-date mailings, and coordinating program certificates.
  • Assist with ECP events and programming, including New Student Orientation, ECDP Workshop Series, and ECDP Information Sessions.
Requirements
  • Associate's degree required; Bachelor's degree preferred.
  • Experience working in a K-12 or post-secondary environment preferred.
Skills and Abilities
  • Excellent communication and organizational skills, with the ability to maintain confidentiality of student records.
  • Proficiency in Microsoft Office 365, including OneDrive, Outlook, Word, Excel, and Teams.
  • Experience with Datatel or comparable administrative databases preferred.
