Job Overview

Position Summary:

The Sales Support Specialist plays a crucial role in providing administrative assistance to the Sales Department and its management team. This position is primarily focused on managing incoming inquiries for the resort, serving as the first point of contact for clients, and ensuring their expectations are not only met but exceeded. Responsibilities include gathering essential information regarding client events, assisting in contract creation, coordinating amenities, managing reservations, and addressing various client requests.

In addition, the Sales Support Specialist will act as the Sales Systems Administrator, optimizing the use of the Amadeus system to cater to the specific needs of different hotel groups. This role will serve as the primary resource for all system-related inquiries, requests, and updates.

Key Responsibilities:

  • Handle all incoming calls, ensuring customers are directed to the appropriate Sales Manager.
  • Prepare Meeting Planner Kits for client use.
  • Manage and replenish office supplies for the Sales Department.
  • Process Expense Reports and Purchase Orders as required.
  • Maintain organized Group files for current and past clients.
  • Update and manage the Territorial Assignment Chart.
  • Process invoices for the Sales Department.
  • Distribute marketing materials for sales inquiries.
  • Monitor Sales Managers' emails and voicemails when necessary.
  • Assist Sales team members with various tasks to promote efficiency and consistency.
  • Coordinate gift certificate requests for Sales Managers.
  • Prepare and send correspondence for Sales Managers, including memos and thank-you letters.
  • Manage reservations for Sales Managers' site inspections, including accommodations and activities.

Amadeus System Responsibilities:

  • Create and manage user profiles, roles, and permissions within the Amadeus system.
  • Customize objects, fields, and workflows to enhance system functionality.
  • Generate sales reports regularly to ensure data accuracy and integrity.
  • Analyze data to identify trends and insights.
  • Conduct audits to ensure compliance with established standards.
  • Act as the subject matter expert on Amadeus systems, developing best practices and training materials.
  • Oversee system configurations to ensure seamless daily operations.
  • Troubleshoot and resolve system issues promptly.
  • Stay updated on system changes and enhancements.
  • Assist with additional projects as assigned.

Qualifications:

  • Proficient in SalesForce and Microsoft Office Suite (Word, Excel, PowerPoint, Access, Publisher).
  • Ability to work reliably under pressure and meet deadlines consistently.
  • Excellent organizational and communication skills.
  • High school diploma or equivalent; post-secondary education preferred.
  • Fluency in English is required.
