Position Title: Assistant Purchasing Agent

FLSA Status: Salary Exempt

Position Summary
This role involves providing assistance to the Director of Purchasing with all direct onsite and option purchasing responsibilities.

Key Responsibilities
Information Management:

  • Support the growth of the division by leading due diligence for new communities.
  • Draft letters of intent and regret.
  • Maintain comprehensive Trade Partner lists, including contact details.
  • Process model upgrade purchase orders and change orders.
  • Keep the model upgrade specification spreadsheet updated as necessary.
  • Create and manage requests for budget change orders.
  • Assist Accounts Payable with invoices as required.
  • Communicate effectively with Site Managers and Trade Partners.
  • Set up projects in the management system.
  • Prepare lot budgets and estimates.
  • Add new subcontracts to the master project.
  • Update subcontracts for pricing adjustments.
  • Issue change orders on direct contracts.
  • Assist with option purchasing tasks.
  • Conduct lot reviews of base and options prior to final reconciliation.
  • Establish construction and option cut-off schedules.
  • Set up lots and phases in the project management system.
Administrative Duties
  • Compose and type routine correspondence, including letters, contracts, and purchase orders.
  • Manage incoming calls, providing information and taking messages as necessary.
  • Sort and distribute daily mail.
  • Exemplify company values and provide leadership to team members.
  • Assist with billing inquiries.
  • File documents as needed.
Managerial Responsibility
This position does not supervise other employees.

Qualifications
Experience
  • A minimum of three years in an administrative role or similar position, preferably within a purchasing department.
Skills
  • Detail-oriented and organized, with a commitment to completing tasks.
  • Effective time management and ability to meet deadlines.
  • Strong written and verbal communication skills.
  • Adaptable, with the ability to prioritize and manage multiple tasks.
  • Proficient in computer applications, particularly Windows, Word, and Excel.
  • Typing speed of at least 45 wpm.
  • Ability to operate a 10-key by touch.
  • Capable of working independently and collaboratively within a small team.
Compensation
The expected salary range for this position is between $65,000 and $80,000 annually, based on experience and skills. This role is also eligible for an annual performance-based bonus.
