Position Title: Assistant Purchasing Agent
FLSA Status: Salary Exempt
Role Summary
The Assistant Purchasing Agent will support the Director of Purchasing in executing all direct onsite and option purchasing responsibilities.
Key Responsibilities
Information Management:- Contribute to the expansion of the Division by leading Due Diligence for new developments.
- Draft letters of intent and regret.
- Maintain and update Trade Partner directories, including contact details.
- Process model upgrade purchase orders and change orders.
- Keep model upgrade specification spreadsheets current.
- Create and log Requests for Budget Change orders on fee projects.
- Assist Accounts Payable with invoice processing as required.
- Facilitate communication with Site Managers and Trade Partners.
- Set up projects in New Star (including lot, address, elevation, and plan type).
- Prepare Lot Budgets and Lot Anchor Estimates.
- Add new subcontracts to the master project list.
- Update subcontracts for pricing adjustments by phase.
- Issue change orders on Direct contracts.
- Support option purchasing tasks.
- Conduct lot reviews of base and options prior to closing for final reconciliation.
- Establish construction and option cut-off schedules.
- Configure lots and phases in Studio Chateau.
- Draft and type routine correspondence, including letters, contracts, addendums, purchase orders, and change orders.
- Answer and screen incoming calls, providing assistance and taking messages as necessary.
- Sort and distribute daily mail.
- Exemplify company values and provide leadership to team members.
- Assist Accounts Payable and Trade Partners with billing inquiries.
- Organize and file documents as needed.
Managerial Responsibilities
This position does not supervise other employees.
Qualifications
Experience
- A minimum of three years in an administrative role or similar position, preferably within a purchasing department.
Skills
- Detail-oriented with strong organizational skills and the ability to see tasks through to completion.
- Effective time management skills and the ability to meet deadlines.
- Excellent written and verbal communication abilities.
- Adaptable, with the capacity to anticipate, prioritize, and manage multiple tasks.
- Proficient in computer applications, particularly Windows, Word, Excel, and Access.
- Typing speed of at least 45 words per minute.
- Ability to operate a 10-key by touch.
- Capable of working independently as well as collaboratively within a small team.
Compensation: The anticipated base salary for this role ranges from $65,000 to $80,000 annually, based on experience and skillset. Compensation is disbursed bi-weekly.
