Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Installed Building Products. As an Administrative Assistant, you will provide essential support to ensure the efficient operation of our office and organization.

Key Responsibilities
  • Front Desk Support: Greet visitors, handle their inquiries, and direct them to the appropriate person.
  • Communication: Answer phone calls, take messages, and transfer calls to the relevant individuals.
  • Scheduling: Maintain scheduling and event calendars.
  • Coordination: Coordinate Safety Training, arrange lunches, and prepare conference materials.
  • Administrative Tasks: Make copies, scan and distribute documents, and reconcile the Home Depot Credit Card.
  • Database Management: Use computers for database management, word processing, and creating, maintaining, and entering information into databases.
  • Filing and Organization: Manage paper or electronic filing systems, recording information, updating paperwork, and maintaining documents.
  • Equipment Maintenance: Operate office equipment, arrange for repairs, and provide daily administrative support to the Office Manager, Operations Manager, Project Managers, and Sales Team.
  • Safety Certifications: Keep track of employees' Safety Certifications, update the Safety Excel sheet, and inform Management/Employee of needing renewal Safety Certifications.
  • Archiving: Archive field project files for completed projects, ensuring orderly storage.
  • COI Management: Request Project Specific COIs, maintain the COI folder, and disperse COIs by email as needed.
  • General Office Support: Perform general office supply management, reception duties, and miscellaneous support.
Requirements
  • Experience: At least 1 year of administrative experience, 2 years preferred.
  • Skills: Competent in Microsoft Office software programs, including TEAMS, Outlook, and ZOOM. Strong proficiency in Excel required.
  • Language: Ability to read, analyze, and interpret general technical procedures. Strong business-level communication skills, writing, and verbal, required.
