- Answer, screen, and forward incoming phone calls
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Schedule and confirm appointments, meetings, and important events
- Update calendars and schedule meetings
- Prepare reports and maintain records
- Type various documents
- Keep the reception area tidy and maintain professional etiquette
- Maintain office security by following safety procedures and control access via the reception desk (monitor logbook, issue visitor badges)
- Order front office supplies and keep inventory of stock
- Arrange travel and accommodations, and prepare vouchers
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- High School Diploma – or equivalent
- Formal qualification in office administration, secretarial work, or related training
- 2-3 years of experience in a similar role
- Bilingual (Spanish)
- Exceptional ability to create a welcoming environment
- Experience in answering and screening calls
- Ability to observe business etiquette and maintain a professional appearance
- Proficiency in appointments scheduling and call forwarding systems
- Experience working with word processing (to include Microsoft Word, Excel, and Outlook Express), spreadsheets, and emails
- Working knowledge of printers, copiers, scanners, and fax machines
- Excellent interpersonal and communication skills
Competitive hourly rate: $17.00 per hour
