Role Overview:

OBJECTIVE:

  • To serve as an integral member of a dynamic team by delivering prompt, precise, and effective administrative assistance, thereby contributing to the overall success of the organization and its key stakeholders.
  • As part of the Hillsboro Innovative Therapies Administrative Professional Team, this role focuses on enhancing the efficiency of administrative workflows while ensuring exceptional service to all supported divisions.

Work Environment:

  • Onsite in Hillsboro, Oregon

Key Responsibilities:

  • Serve as the primary point of contact for general operational or administrative inquiries within the department.
  • Utilize technical and business acumen to contribute effectively within and beyond assigned responsibilities.
  • Manage a complex calendar for Functional Directors, including scheduling, conflict resolution, and ad-hoc requests.
  • Support and actively engage in functional leadership meetings, including agenda management, minute-taking, and action item tracking.
  • Skillfully handle multiple, often competing, priorities to ensure successful outcomes.
  • Coordinate and facilitate meetings, events, and activities for both onsite and offsite gatherings.
  • Arrange travel and conference participation for key stakeholders.
  • Process invoices, payments, and expense reports utilizing corporate systems.
  • Foster and maintain strong collaborative relationships with the Administrative Professional Team, actively participating in meetings and projects as needed.
  • Manage confidential and sensitive information with discretion and sound judgment.
  • Participate in and support various projects and cross-functional teams.
  • Provide onboarding assistance for new hires and manage the ordering of departmental supplies through corporate systems.

Qualifications:

  • At least 5 years of administrative experience, including support for Functional Leaders and team members. A Bachelor's degree is advantageous.
  • Proficient in email management, calendar administration, word processing, database management, and presentation software.
  • Quick learner with the ability to adapt to new skills and software applications.
  • Excellent written and interpersonal communication skills.
  • Strong organizational and time-management abilities, with a proven track record of working independently and remotely.
  • Ability to establish connections outside of one's immediate work group and develop partnerships to enhance efficiency.
  • Capable of multitasking while managing routine and unexpected assignments with minimal supervision.

Compensation & Benefits:

  • Expected pay range for this position: $30.00/hour - $36.44/hour on W2.
  • Benefits include Medical, Dental, Vision, and 401K (subject to minimum eligibility hours).
