Service Coordinator

The Service Writer plays a crucial role in supporting the service department's efficiency and organization. This position involves assisting the service manager in ensuring that all service-related documentation and records are accurate and up-to-date, contributing to the overall functionality of the dealership.
Key Responsibilities:
- Responds to inquiries from both internal and external customers regarding service operations.
- Initiates and manages work orders as per the directives of the Service Manager or Shop Foreman, ensuring proper tracking until completion and invoicing.
- Maintains an organized service library, ensuring that all materials such as bulletins, manuals, and multimedia resources are current and accessible under the supervision of the Service Manager.
- Handles the filing and record-keeping for the Service Department, ensuring all documents are systematically organized.
- Updates customer profiles by inputting relevant information derived from service work orders, including equipment details and hours of service.
- Assists in managing incoming service phone calls, providing necessary information and support.
- Oversees the inventory of accessories and supplies, preparing orders for replacements as needed.
- May compile efficiency reports for Service Technicians and other necessary documentation as required.
- May be involved in processing warranty claims and product improvement requests, including charge calculations and follow-up submissions.
- Performs additional duties as assigned by management to support the service department.
Qualifications:
- Fundamental understanding of accounting principles.
- Proficient in using standard desktop applications, including Microsoft Office and internet tools.
- Familiarity with office procedures and practices.
- Basic knowledge of mechanical and technical terminology is advantageous.
- Demonstrated mechanical aptitude.
- High School Diploma or equivalent experience is required.
Reporting Structure: This position reports directly to the Service Manager or Site Manager.
Supervisory Responsibilities: None.
