Job Title: Administrative Assistant

We are seeking an experienced Administrative Assistant to provide support to our branch office. The successful candidate will be responsible for general purchasing, inventory, and accounting responsibilities, as well as project-based work.

Key Responsibilities:
  • Manage accounts receivable, including tracking past due accounts for the Alarm and Detection Department.
  • Maintain all records in Falcon, including open tickets, creating new sites, and printing monthly work orders for alarm technicians.
  • Distribute and track national accounts for alarm and detection.
  • Handle incoming service calls and distribute to alarm technicians.
  • Prepare quotes and assist with scheduling manpower for alarm technicians.
  • Attend weekly alarm and detection meetings and take notes.
  • Maintain records of licensing and certifications for assigned personnel.
  • Assist with customer requests and update daily Google calendar for fire alarm technicians.
  • Process credit card receipts and statements, and submit subcontracts and new monitoring contracts.
  • Review daily monitoring accounts and update account information as needed.
  • Coordinate manpower with the Corporate Service Department and other branch offices.
Requirements:
  • High School Diploma or GED required.
  • 5+ years of previous administrative experience required.
  • Experience in the construction industry is a plus.
