We are seeking a dedicated Full-Time Administrative Coordinator to oversee our front desk operations and manage a variety of clerical and administrative responsibilities. As the first point of contact for families and visitors, you will play a crucial role in coordinating healthcare providers, home health services, and other essential support for our residents.

Your responsibilities will include providing comprehensive administrative assistance throughout the community. You will warmly welcome guests and facilitate tours of our facility. Additionally, you will manage front-desk operations, including handling correspondence and directing phone inquiries.

To excel in this role, you should possess a friendly demeanor, as customer service is a key component of this position. A genuine interest in working with seniors and a compassionate approach will greatly enhance your effectiveness as an Administrative Coordinator.

Effective management of emergencies and the ability to streamline office processes are essential. Strong multitasking and stress management skills will be critical for success in this position. Flexibility in scheduling may be required, as shifts can vary. Ultimately, your primary goal will be to ensure that the front desk operates smoothly and that all administrative tasks are completed to the highest standards.

Key Responsibilities

  • Welcome and greet guests promptly upon arrival
  • Direct visitors to the appropriate personnel and assist with facility tours
  • Handle incoming phone calls, screening and forwarding as necessary
  • Maintain a tidy and organized reception area, ensuring all necessary materials are available
  • Provide accurate information to guests in person and via phone/email
  • Sort and distribute daily mail and deliveries
  • Ensure office security by adhering to safety protocols and managing access at the reception desk
  • Order and manage inventory of front office supplies
  • Update calendars and coordinate meetings
  • Arrange travel and accommodations as needed
  • Keep detailed records of office expenses
  • Perform various clerical tasks such as filing, photocopying, and faxing

Required Skills

  • Proven experience as a Receptionist or in a similar administrative role
