Front Desk Role Overview
Reports to: Assistant General Manager/Manager on Duty
Role Description:
The Front Desk serves as the first point of contact for clients and visitors, providing a warm welcome and directing them appropriately. This role is crucial in maintaining smooth operations by managing appointments, handling communications, and ensuring the facility remains clean and organized.
Key Responsibilities:
  • Greet and assist visitors and clients, both in person and over the phone; address inquiries or refer them as necessary.
  • Manage communications by receiving and distributing information; handle correspondence and maintain accurate records.
  • Ensure a safe and tidy reception area and lobby, including restrooms, by adhering to established procedures and regulations.
  • Maintain client accounts with accurate and current information; process payments as needed and schedule classes and appointments.
  • Assist clients with retail products; possess comprehensive knowledge of all merchandise and manage sales effectively.
  • Monitor inventory levels by checking stock; anticipate needs, verify receipts, and restock items as required.
  • Coordinate and track donations to non-profit organizations.
  • Organize, promote, and participate in special events, ensuring all client communications are updated and displayed in public areas.
  • Adhere to employment standards; make necessary adjustments as requested by management, including feedback from evaluations.
  • Contribute to team success by achieving related results as needed.
  • Enhance job knowledge through participation in educational opportunities.
Additional Responsibilities: Perform other duties as assigned.
Qualifications and Requirements:
  • Friendly and professional demeanor; hospitable and caring attitude.
  • Strong focus on customer service: deliver quality experiences and manage customer escalations effectively.
  • Excellent communication skills, including telephone etiquette, verbal and written communication, and active listening.
  • Experience with scheduling software and proficiency in spreadsheets and word processing applications.
  • Exceptional multitasking abilities: manage multiple schedules, keep instructors and clients on track, and handle phone inquiries.
  • Reliable and adaptable schedule: availability for some evenings and weekends is required.
  • Preferred qualifications:
    • Experience in swim instruction or competitive swimming; knowledge of basic strokes, teaching methods, and progression.
    • CPR & First Aid Certification.
Uniform Requirements: Front Desk staff are required to wear designated uniforms, which include a specific t-shirt and shorts provided by the company. Staff will receive one t-shirt per calendar year, with additional uniforms available for purchase. Uniforms must be kept clean and professional; supervisors may require additional uniforms if standards are not met.
Work Hours: 3-30 hours per week
