Job Title: Assistant Director of Facilities

The University of Maine System is seeking a highly skilled and experienced Assistant Director of Facilities to join our team. This is a full-time position that will work on both the Portland and Gorham campuses, requiring travel between the two locations.

Job Summary:

The Assistant Director of Facilities will be responsible for the supervision of daily operational services provided by the building trades on both campuses. This includes maintaining the buildings and mechanical systems in a safe and efficient mode of operation. The successful candidate will have a strong background in plant operations and maintenance, with a minimum of five years of experience, including at least three years of supervisory experience.

Key Responsibilities:
  • Directly manage the work activities of direct reports within their assigned shops.
  • Ensure timely completion of building maintenance work orders, backlog reports, and identification and recommendation of work for inclusion in deferred maintenance.
  • Work closely with the Facilities Service Manager to assign and prioritize all work orders submitted and ensure that time and materials are accurately tracked and associated with correct work orders.
  • Review work assignments, maintenance schedules, and preventative maintenance programs to ensure that work is appropriately assigned amongst different trade staff. Inspect and evaluate quality of work and adhere to standards.
  • Prepare cost estimates for maintenance projects with cost comparisons for alternative plans, including in-house versus out-source services. Prepare specifications for maintenance, repair, renovation, and construction projects, obtain proposals and quotations from contractors, and recommend/requisition a contractor for actual contractual work. Oversee work to assure conformance to specifications.
  • Utilizing an enterprise software package, develop and approve purchase requisitions and invoices for payment. Maintain constant surveillance of expenditures, develop unit costs, and recommend apportionment schedules to distribute charges to auxiliary services and other departments as applicable.
  • Inspect and coordinate the construction phase of projects, including projects done jointly with department trades persons and outside contractors.
Requirements:
  • Bachelor's Degree in a related field or an equivalent level of experience.
  • Minimum of five years of progressively more responsible experience in the field of plant operations and maintenance, including at least three years of supervisory experience.
  • Strong interpersonal, organizational, and planning skills.
  • Experience with an IWMS system.
  • General knowledge of all areas of building maintenance and operating systems, such as elevators, fire alarms, HVAC, plumbing, electrical, carpentry, district heating systems, etc.
  • Valid Maine motor vehicle's license.
