About the Role:

The Laboratory Supply Coordinator will deliver laboratory and administrative support services across the campus, engaging with various Site Supply and Service departments: Shipping/Receiving, Mailroom, and Glasswash. The Coordinator will effectively communicate and coordinate tasks within the team, leadership, and both internal and external stakeholders. Responsibilities include data entry of departmental statistics and providing support to colleagues and leadership, including coverage provision. Compliance with HHMI's policies and procedures is essential, as is maintaining constructive and collaborative relationships with all vendors, JRC, and HHMI staff.

Key Responsibilities:

Business Unit Functions: Deliver exceptional customer service across all Site Supply and Service functions, including but not limited to:

Shipping/Receiving:

  • Physical receipt, organization, and distribution of incoming packages and freight.
  • Collection, packaging, and processing of outgoing packages and freight.
  • Adherence to regulations and requirements for handling controlled substances.
  • Identification and segregation of incoming chemicals.
  • Detail data capture for packages (tracking number, recipient, PO number, etc.).

Mailroom:

  • Collection and distribution of United States Postal Service (USPS) and interoffice packages and mail (inbound/outbound).
  • Knowledge of USPS regulations for mail handling and delivery.
  • Posting of outbound mail using postage meter and online software.

Glasswash:

  • Collection and delivery of glassware.
  • Manual washing and machine loading/unloading of glassware.
  • Sterilization of glassware.
  • Inspection of materials for defect identification and retirement/replacement.

Team Performance and Development:

  • Collaborative member of the Site Supply and Service team, executing all assigned duties.
  • Assist team members with departmental coverage plans.
  • Ability to successfully complete Hazmat Air Shipper (IATA/49) and Hazmat Ground Shipper (DOT) Certifications.
  • Exhibit positivity and professionalism when interacting with customers, colleagues, and management.

Administrative Duties:

  • Participate in and contribute to regularly scheduled group meetings.
  • Effectively cooperate and communicate with contractors and staff, managing requests from administrative and scientific personnel.

Qualifications:

  • High school diploma or GED required.
  • 1-2 years of relevant experience preferred.
  • Familiarity with laboratory supplies and experience in Life Sciences or a laboratory setting preferred.
  • Ability to work collaboratively in a diverse research environment and engage with the scientific community with a customer-centric approach.
  • Strong organizational and time-management skills, with a sense of urgency and the ability to perform consistently under pressure.
  • Excellent critical thinking and decision-making abilities.
  • High attention to detail with a strong degree of accuracy.
  • Clear and concise verbal and written communication skills.
  • General knowledge of hazardous materials and the ability to identify and segregate controlled substances.
  • Proficient in computer skills, including Microsoft Office.
  • Willingness to work occasional weekends and/or holidays and flexibility with work hours as needed.

Physical Requirements:

Ability to remain in a normal seated or standing position for extended periods; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, such as using a keyboard; communication skills using spoken language; ability to see and hear within normal parameters; ability to move about the workspace. The position requires mobility, including the ability to move materials weighing several pounds.
