Job Title: Communications Manager

At Mindlance, we are seeking a highly skilled Communications Manager to join our team. As a key member of our organization, you will play a critical role in supporting the Deputy Director of Customer and Community Transition and contributing to the development and implementation of strategic communications and programs.

Key Responsibilities:
  • Develop a variety of content to support communications efforts, including emails, newsletters, website materials, FAQs, and presentations.
  • Assist with the preparation and organization of project information, training materials, and instructional processes.
  • Monitor and manage project timelines to ensure milestones, priorities, and deadlines are on track for completion.
  • Create communications templates to build a resource toolkit for recurring initiatives and inquiries.
  • Build a project management plan and system to organize all communications projects and assets.
  • Coordinate volunteers, support staff, vendors, and more to support community events.
  • Respond to and support all MBTA staff requests regarding information related to projects.
  • Respond to each inquiry, whether from a customer, vendor, or co-worker, in a professional and courteous manner.
  • Ability to work on multiple projects with different objectives simultaneously.
  • Strict adherence to brand style guides, customer-facing terminology, and other relevant policies for external communications and marketing.
  • Develop a content review and approval process for stakeholders to foster collaboration and deadline compliance.
  • Utilize industry best practices and familiarity with the organization's mission to inspire ideas and content.
  • Uphold the rights and interests of the Authority while building and maintaining an effective relationship with employees.
  • Perform related duties and projects as assigned.
  • Ability to occasionally work outside of regular working hours to support communication and education-related initiatives in the field.
Requirements:
  • Bachelor's degree from an accredited institution in Business Management, Marketing, Communications, Journalism, Public Administration, or a related field.
  • Substitution of a high school diploma or equivalent (G.E.D.) plus three (3) years of related work experience.
  • Two (2) years of related communications and project management experience.
  • Knowledge of basic communications principles with an understanding of best practices for external and internal communications within the context of a large organization.
  • Excellent organizational, confidentiality, multi-tasking, and time management skills.
  • Strong writing, computer, and analytical skills.
  • Proficient in Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.
  • The ability to pass background screenings and the MBTA's medical requirements, including a physical examination and drug and alcohol screening.
  • Handle sensitive and confidential information in an appropriate manner.
  • Have excellent customer service and conflict resolution skills.
  • Ability to take direction and proactively identify areas for improvement in team processes.
  • Ability to quickly learn how to use new software and tools.
  • The ability to provide internal and external customers with a courteous and professional experience.
  • Be available to work a hybrid schedule with 2-3 days in the office.
  • Ability to occasionally work outside of regular working hours to support communication and education-related initiatives on the field.
  • Have a satisfactory work record for the two (2) years immediately prior to the closing date of this posting, including overall employment, job performance, discipline, and safety records.
  • The ability to work effectively with a diverse workforce.
Preferred Qualifications:
  • Experience in Project Management Software (Asana) and Slack.
