Position Summary

The role of the legal secretary/legal administrative assistant is vital to our team, providing essential support to multiple attorneys specializing in labor and employment litigation. The ideal candidate will possess a blend of legal and administrative expertise, contributing to the efficient operation of our practice.

Key Responsibilities

  • Assist attorneys by maintaining an understanding of ongoing cases and projects, utilizing available resources effectively.
  • Provide comprehensive support for four or more attorneys in labor and employment law matters, offering backup assistance as necessary.
  • Draft, revise, and proofread various legal documents, including correspondence and pleadings, as directed.
  • Manage document submissions in various courts, primarily through electronic filing systems.
  • Collaborate with internal departments, external agencies, vendors, and clients.
  • Handle a diverse range of complex and confidential materials with discretion.
  • Support the completion of conflict checks and the initiation of new client engagements; assist with billing inquiries and collections; maintain accurate docketing for litigation attorneys.
  • Oversee calendar management, continuing legal education (CLE) tracking, report generation, and timekeeping.
  • Coordinate travel arrangements and assist with expense reimbursements as needed.
  • Perform various office and client filing tasks.
  • Execute additional administrative functions as required.
Qualifications
  • A minimum of 5 years of recent experience in a legal administrative role within a law firm, with a focus on litigation support; experience in labor and employment law is advantageous.
  • Familiarity with state and federal legal procedures and agency protocols.
  • Strong understanding of legal terminology and experience with electronic court filings.
  • Experience in trial preparation and document briefs.
  • Excellent verbal and written communication skills, along with strong proofreading abilities.
  • Ability to meet deadlines, manage workload effectively, and demonstrate initiative.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint; familiarity with law firm software for billing and document management is a plus.
  • Strong interpersonal skills, with the ability to work collaboratively in a small office environment and communicate effectively with attorneys and support staff.
  • Dependable with a strong attendance record.
Educational Background
  • High School diploma or equivalent is required.
  • A four-year college degree is preferred.
