Job Title: Academic Affairs Coordinator

We are seeking an experienced Academic Affairs Coordinator to join our team at the College of Architecture, Arts, and Design. The successful candidate will provide administrative support to the Associate Dean for Academic and Faculty Affairs and work closely with the college's Director for Academic Advising and the professional academic advising team.

Key Responsibilities:
  • Process undergraduate student forms and paperwork in Banner, including force-adds, transfer credit requests, and course substitutions.
  • Provide class timetable and enrollment management support for the college.
  • Manage electronic filing of student forms to Banner Document Management.
  • Track and organize undergraduate and graduate course proposals and support the college's curriculum committee.
  • Compile data and manage spreadsheets to support academic advising and recruitment efforts.
  • Issue notifications of documented student absences to faculty.
  • Support the college's honorifics committee and annual awards ceremony.
  • Manage important deadlines throughout the academic and calendar year.
  • Handle in-person, email, and phone inquiries from students, parents, and faculty/staff.
Requirements:
  • Administrative experience working in a higher education or professional setting.
  • Demonstrated knowledge and skills with computer programs and information systems, including Microsoft Office.
  • Excellent organizational and communication skills.
  • Experience with organizing or maintaining confidential records or files.
Preferred Qualifications:
  • Associate's degree (or higher), or significant relevant work experience in higher education.
  • Knowledge and understanding of FERPA.
  • Experience using student information databases such as BANNER.
  • Project Management experience.
  • Experience with DocuSign, or a similar electronic file sharing software.

We offer a competitive hourly rate of $21-22 and a restricted appointment type. The position is on-site with some flexibility for occasional telework based on scheduling and circumstances. Hours will vary based on business need but will not exceed 1,500 hours total between May 1st and April 30th (12-month period). Initial scheduling will be at or near full-time. Term of the role is anticipated to be six to nine months.
