Job Overview

The South Dakota State University Foundation is looking for a dedicated and professional individual to fill the role of Graduate Administrative Assistant (GAA). This position is essential in providing outstanding support to the Alumni Association by acting as the primary contact for alumni, students, and visitors. The GAA will play a vital role in enhancing the experience of the SDSU community and ensuring the success of the Alumni Association.


Key Responsibilities

This position is located at the SDSU Alumni Association office. The work environment is collaborative and professional, with regular interactions with staff, alumni, students, and other stakeholders.

  • Offer administrative assistance to the Alumni Association team, including scheduling meetings, performing data entry, supporting marketing initiatives, and contributing to the SDSU Alumni Mentor Program.
  • Engage in various Alumni Association, SDSU, and SDSU Foundation events, which may require availability during evenings and weekends.
  • Assist with event management tasks, including processing registrations, handling payments, managing attendee lists, and disseminating event details.
  • Work closely with Alumni Association staff to facilitate effective communication and coordination.
  • Open and close the Alumni Association office daily, ensuring security and proper management of the workspace.
  • Welcome and assist visitors, alumni, and students in a courteous and professional manner.
  • Provide information and support regarding Alumni Association programs, events, services, and resources.
  • Handle incoming calls and direct them to the appropriate personnel.
  • Manage the distribution of incoming and outgoing mail, packages, and deliveries.
  • Maintain an organized and professional reception area.
  • Coordinate appointments, meetings, and conference room bookings.
  • Promote and uphold the values and mission of the SDSU Alumni Association.
  • Perform additional duties as required to meet the needs of the organization.
Qualifications

Applicants must meet the criteria for unconditional admission to Graduate School at South Dakota State University. Previous administrative experience or familiarity with office environments is preferred but not mandatory.


Compensation and Benefits

This position offers an hourly wage along with a special tuition rate, which includes a waiver of tuition costs and associated fees for eligible courses.


Physical Requirements

The role involves various physical activities, including sitting, standing, bending, reaching, and occasional lifting (up to 40 pounds) of items such as chairs and office supplies. Manual dexterity is required to operate standard office equipment.


Work Schedule

The GAA position requires a commitment of 20 hours per week, with a schedule that aligns with standard office hours. Flexibility is expected to accommodate class schedules and event-related duties.
