  • The Clinical Operations Coordinator will be responsible for coordinating daily clinic preparation processes, patient identification, check-in/out, charge posting, cash management, and appointment scheduling. This includes:
">
  1. Reviewing next day patients and completing next day preparation activities
  2. Entering pre-visit orders and preparing new patient charts
  3. Picking up X-rays, office charts, medical records, reports, petty cash, and collections bags
  4. Filing history sheets, ancillary reports, and required patient record documentation
  5. Returning medical records
  6. Attaching HIPAA/Medicare documents to encounter forms
  7. Checking-in patients upon arrival in the practice
  8. Verifying patient demographic data
  9. Edit Maestro Care as needed
  10. Accurately identifying accounts for patient visits
  11. Presenting and educating patients on required forms and obtaining signatures according to policy and procedure
  12. Completing all Maestro Care check-in files and managing alerts
  13. Collecting and posting co-payments and balances due
  14. Imprinting chart documents and requisition/transmittal documents
  15. Copying, filing, and distributing insurance cards as indicated by procedure
  16. Coordinating labs/procedures as requested
  17. Maintaining private physician office charts
  18. Preparing encounter forms
  19. Auditing encounter forms for completeness and accuracy before batching
  20. Batching encounter forms or charge posting in Maestro Care
  21. Scheduling tests and procedures
  22. Completing and distributing ancillary service requisitions
  23. Explaining billing to patients according to PRMO credit and collection policies
  24. Determining cash to be collected based on insurance plans
  25. Checking-out patients
  26. Making return appointments by scheduling into correct types and entering primary care physicians or referring physicians

This role requires strong verbal and written communication skills, basic PC and data entry skills, knowledge of medical terminology, and telephone etiquette. The ideal candidate will have the ability to organize and prioritize work, provide oral and written instructions, interact tactfully with customers, and establish effective relationships.

  • A minimum of one year of work experience in directly communicating and providing service to patients or the public, preferably in a healthcare-related field
