Position Summary: The Client Services Coordinator plays a crucial role in conducting thorough research and verification for construction projects while delivering outstanding service to assigned accounts related to the preliminary notice and mechanic's lien processes. This role involves regular communication with clients to ensure timely and precise execution of tasks.
Key Responsibilities:
- Manage a high-volume queue of preliminary notices in compliance with state regulations and deadlines.
- Conduct comprehensive project research utilizing county assessor and recorder resources, as well as state websites.
- Perform internet research and GIS mapping, along with other proprietary investigations (e.g., contractor licenses, building permits, property ownership).
- Execute searches on various state registries to connect preliminary notices as necessary.
- Handle notice amendments, withdrawals, releases, and other relevant documents.
- File documents with county clerk offices and follow up to ensure proper recording.
- Oversee the mechanic's lien and bond claim processes through diligent document tracking and follow-up.
- Prepare and coordinate lien services for attorney handling.
- Review documentation for compliance and accuracy, addressing any discrepancies with clients.
- Audit preliminary notices for necessary signatures and notarization.
- Process correspondence related to preliminary notices.
- Manage return mail escalations for preliminary notices.
- Track and oversee deadlines for preliminary notices.
- Prioritize tasks to meet statutory deadlines and NCS turnaround standards.
- Update project systems as required.
- Assist with Payment Bond Investigations.
- Deliver exceptional client service promptly.
- Coordinate multiple construction projects concurrently.
- Engage in departmental initiatives, projects, and process enhancements.
- Perform additional duties as assigned.

Education and Experience:
- Associate's degree; Paralegal or Bachelor's degree preferred.
- One year of experience in a professional office setting or three years of relevant experience in lieu of a degree.
Physical and Mental Requirements:
- Ability to communicate effectively in person, via phone, and through email.
- Manual dexterity for typing and using a keyboard/mouse.
- Near visual acuity for detailed work.
- Prolonged periods of sitting while using a computer.
