Job Summary

The Town of Concord, MA is seeking a highly skilled and customer-focused individual to fill the role of Office Assistant. This position will provide exceptional front desk services at our Swim & Fitness and/or Hunt facility, ensuring a positive and welcoming experience for patrons.

Key Responsibilities
  • Provide exceptional customer service to patrons in person, via phone, and through email.
  • Act as the first point of contact for public inquiries regarding Recreation Department programs, memberships, and services.
  • Respond to customer inquiries with accurate and organized information and directions to customers regarding policies, procedures, and program fees.
  • Operate a multi-line phone system and direct queries to other staff members and/or other sources of information as appropriate.
  • Complete program and membership registrations using MyRec software for walk-in and/or call-in customers, including ID issuance and parking cards.
  • Process cash, check or credit card payments with accuracy.
  • Reconcile register at the end of each day and record details of Department deposits in an appropriate spreadsheet(s), maintaining the accuracy of the database.
  • Process and route incoming mail, responding appropriately to matters not requiring the personal attention of management.
  • Maintain staff coverage of registration desk at all times.
  • Perform other basic office functions such as typing correspondence, memorandums, and meeting notices; filing; maintaining records and databases; photocopying; scheduling; etc.
  • Assist other Recreation Department staff as needed, performing tasks at their request.
  • Follow building opening/ closing procedures, including turning on/off all lights and computers.
  • Perform special projects and related responsibilities as initiated and requested.
  • Perform other related duties as required, directed or as the situation dictates.
Requirements
  • High school education; additional education or training in a clerical field preferred.
  • Strong background in customer service.
Working Conditions

The Office Assistant will work in a normal office environment, not subject to extreme variations of temperature, noise, odors, etc. The majority of work is performed in a moderately noisy work environment, with constant interruptions.
