Job Overview
We are seeking an Operations Coordinator to manage the daily functions of our office.

This role will serve as a central communication point for front desk personnel, patients, providers, insurance entities, and external consultants, ensuring effective and seamless interactions.

The ideal candidate will possess strong interpersonal skills, a passion for customer service, and the ability to approach their work from a justice-oriented perspective while maintaining excellent organizational skills.

Key Responsibilities

1. Build and sustain relationships with clients, patients, staff, and providers.

2. Ensure a safe and welcoming environment for all, with particular attention to the needs of diverse communities.

3. Oversee front desk training, supervision, and support.

4. Manage task delegation and workflow for front desk operations.

5. Provide backup support for phone inquiries.

6. Schedule shifts for front desk staff.

7. Coordinate patient appointments.

8. Assist patients and billing specialists with insurance-related communications.

9. Liaise with insurance companies to verify benefits and coverage.

10. Ensure timely submission of prior authorizations and facilitate necessary documentation between staff and providers.

11. Communicate with patients regarding insurance matters and outstanding balances.

12. Regularly review financial reports and manage collections on overdue accounts.

13. Process payroll for staff and providers.

14. Oversee provider credentialing and insurance contracts.

15. Manage registrations for inventory and insurance systems.

16. Maintain operational contracts and leases.

17. Develop and enhance operational systems.

18. Ensure compliance with HIPAA regulations.

19. Maintain clinical compliance with local and state regulations.

20. Collaborate with remote clinical support and consultants.

21. Assist the clinic owner in balancing her dual roles as a provider and business leader.

22. Organize meetings, workshops, and community events.

23. Manage inventory and procure supplies as necessary.

24. Regularly handle clinic linens and perform cleaning duties as needed.

Qualifications

Required:
Experience with anti-racist, pro-queer, and pro-trans practices, along with the ability to apply equity and inclusion principles effectively.

Physical Requirements:
Ability to lift 20 lbs overhead, lift 40 lbs from the ground, crouch to handle laundry, and maneuver in a compact workspace.

Preferred:
Previous management experience in healthcare or hospitality settings.

Candidates must successfully complete a background check. Proof of COVID vaccination and boosters is mandatory.
